Stock gets inaccurate when it moves without a record. Multiple locations multiply the places that can happen.
One ledger for every movement
Every movement should be recorded: receipts, sales, returns, transfers and adjustments. The stock level is then the sum of those movements, never a number someone typed over.
Make transfers visible
- A transfer has a sender, a receiver and an in-transit status.
- Stock leaves the first location when it ships and arrives at the second when it is received.
- Differences at receiving are recorded, not ignored.
Count a little, often
Cycle counts check a few locations or products each week instead of shutting down for a full stocktake. Fast-moving and high-value items deserve the most frequent counts.
Receive properly
- Receive against a purchase order.
- Put stock away to a named location.
- Record batch and expiry where they matter.
Share the number with every channel
The till, the storefront and any marketplace should read the same stock, so you stop selling things you no longer have.
